Your day-of wedding timeline
Build your wedding day rundown, organize it across rehearsal, ceremony, and reception, and let NextSet run the live timer.
For: Couples
Your NextSet wedding rundown is your master timeline — it keeps every moment in order from the night before to the last dance, and it drives the live timer that your director runs on the day.
How the rundown is organized
Your rundown is split into days, and each day holds the items that happen on that day in order:
| Day | What it's for |
|---|---|
| Day 1 — Rehearsal & Welcome | Rehearsal dinner, welcome party, or anything the night before |
| Day 2 — Wedding Day | The ceremony, cocktail hour, and reception — the heart of your day |
| Day 3 — Brunch & Farewell | Morning-after brunch or a farewell gathering for guests staying on |
NextSet builds the skeleton automatically during your onboarding based on your vision description. If you mentioned a rehearsal dinner or "brunch the next morning," those days appear ready for you. If you only have one day, that's all you see.
Opening the rundown editor
- Sign in and go to your wedding dashboard.
- Find your event in the list and open it.
- Click Rundown in the sidebar (or the event sub-navigation).
The editor shows all your days in a single scrollable view, grouped clearly by day so you always know where you are.
Reading and editing your timeline
Each item in your rundown shows:
- The type — Getting Ready, Ceremony, First Dance, Speeches, Cake Cutting, and so on.
- A label — the name that shows on screen during the live show.
- A scheduled time — when it's planned to start.
- A duration — how long the timer will count down.
To edit any of these, click the item and change what you need. Changes save automatically when you move on.
What item types are available
NextSet covers the full arc of a wedding day:
Before the ceremony — Getting Ready, First Look, Bridal Party Photos, Family Photos, Couple Portraits
The ceremony — Ceremony, Rehearsal
Evening — Cocktail Hour, Reception Open, Speeches, First Dance, Parent Dance, Cake Cutting, Bouquet Toss, Send-Off
Multi-day extras — Rehearsal Dinner, Welcome Party, Brunch
If the automatically generated rundown already covers your plan, you may not need to add anything. Edit the times and durations to match your actual schedule, and you're set.
Adding and reordering items
To add a new item, use the add button at the bottom of any day's section. Choose the item type, give it a label, set a time, and set a duration.
To reorder items within a day, drag them into the right position. The timer will follow the new order during the live show.
To move an item to a different day, edit it and change the day. This is the most common fix when something ends up in the wrong section — see the Common problems section below.
How the rundown drives the live timer
On the day of your wedding, whoever is running the show opens the director controls. Every item in your rundown appears as a list. When they tap Next, the timer loads that item's name and duration and starts counting down automatically. Your director can also add time, pause, or skip ahead if the day runs ahead or behind.
Every screen in the room — the venue display, a tablet backstage, anything pointed at the projector link — updates live and stays in sync without any extra steps.
Your guests can follow the day on their phones too. The guest schedule on your wedding page shows the upcoming moments so everyone knows what's next.
A few things worth knowing
- Outdoor and garden weddings: if you picked an outdoor, garden, beach, or vineyard theme during setup, the ceremony and portrait items are scheduled an hour earlier to make the most of golden-hour light. Check these starting times if you had a specific ceremony time in mind.
- Vendor timeline items: if you've invited a photographer or other vendor, they can add their own items to the timeline through the vendor portal. These appear in your rundown alongside your own items.
- TBD dates: if you haven't picked your date yet, that's fine — the timeline items still work. You'll update the wedding date in your event settings when it's confirmed, and the scheduled times will shift accordingly.
Common problems
An item is showing up under the wrong day. Open the item and change its day using the Day field. Rehearsal dinner items belong on Day 1, wedding moments on Day 2, and the morning-after brunch on Day 3. The rundown editor groups items by day — setting the day field is what determines where each item appears, not where you created it.
Items within a day are out of order. Drag them into the correct sequence. Order within a day is fully manual, so you have complete control. The live timer follows the order you set here.
The live timer shows the wrong duration for an item. Open the item in your rundown and check the Duration field. Whatever is set there is what the timer counts down from. Update it and save — the change takes effect the next time that item is started by the director.
I don't see a Day 1 or Day 3. These days only appear if your onboarding answers included the night before or morning after. To add them, create a new item, set its day to Day 1 or Day 3, and the day section will appear. If you want to remove a day, delete or move all items out of it and the section disappears.
My timeline looks different from what I described during setup. The initial skeleton is generated from your vision text and the template you selected. If you'd like it to more closely match your plan, edit items directly in the rundown — the editor is fully flexible and your changes are not overwritten by the onboarding.
